Neuberger Berman Administrative Coordinator in Toronto, Canada

Summary:

An Administrative Coordinator will provide general administrative support for the Sales organization, working in partnership with Sales Management, and proactively carrying out the team’s business goals.

Responsibilities:

  • Perform general administrative duties such as: calendar management, printing of meeting materials, ordering office supplies, etc.

  • Coordinate the support required for client meetings: Schedule/maintain meeting planners in MS Outlook, reserve conference rooms & audio-visual support, order catering, register and greet visitors

  • Coordinate travel arrangements including flight, hotel and ground transportation

  • Process travel & expense reports and reimbursements; coordinate expense pre-approvals when necessary

  • Perform ad hoc projects as needed

  • Strong time management skills: ability to prioritize multiple tasks efficiently

  • Proactive in following up on details, anticipating issues, and closing loops on all requests

  • Strong team orientated attitude: execute responsibilities as a partner to managers and peers, act as a contributing member of the partnership pod, help to deepen relationships (external and internal) and improve team processes

Qualifications:

  • College degree preferred

  • 3-5+ years of administrative assistant experience in the financial services industry preferred

  • Excellent organizational and communication skills; must be detail oriented

  • Exhibit strong time management skills; ability to prioritize and handle multiple tasks simultaneously in a fast-paced environment

  • Positive, high energy, enthusiastic and professional attitude

  • Strong sense of teamwork and client service

  • Must be proactive, resourceful, and work independently with minimal guidance

  • Intermediate knowledge of MS Office, Salesforce and Concur
